Define the scope before comparing prices
An NBWAVE procurement preparation checklist for hotel, school, hospital, large-residence and retrofit hot-water projects. Use it to prepare a design brief, budget enquiry or technical proposal. Project-specific engineering and contractual requirements must be confirmed separately.
1. Information to supply
| Input | Details |
|---|---|
| Site and building | Location, use, building count, floors, plant position, photographs and drawings |
| Hot-water demand | Occupancy or rooms, usage rate, peaks, simultaneous outlets and target temperature |
| Energy | Available electrical capacity and tariff; gas supply and flue conditions where relevant |
| Existing system | Equipment models, storage, operating issues, return loop, items to retain and replace |
| Construction | Working periods, shutdown windows, temporary supply requirements, lifting access and reinstatement |
| Handover | Programme, commissioning, acceptance checks, training, as-built documents and service requirements |
2. Additional inputs by application
| Application | Clarify |
|---|---|
| Hotel | Room and common-area demand; laundry and pool loads separately; work during occupancy |
| School | Occupancy by building, concentrated bathing periods and holiday work windows |
| Hospital | Domestic hot-water user groups and zones; medical process water specified separately if involved |
| Large residence | Bathrooms, simultaneous outlets, bath volume, return path, plant space and noise requirements |
| Retrofit | Reusable assets, faults and complaints, energy bills and metering boundaries |
3. Compare the same cost groups
- Equipment: heat pumps or other heat sources, tanks, pumps, treatment and controls, with model, quantity and unit price.
- Works: pipework, valves, insulation, power, supports, lifting, removal, reinstatement and temporary supply where required.
- Handover: cleaning, commissioning, acceptance, training and documentation.
- Commercial terms: tax-inclusive total, tax basis, payment stages, validity, freight, warranty scope and chargeable extras.
4. Suggested technical proposal contents
- Project description and demand.
- Calculation inputs, design conditions, selection basis and results.
- System zoning, configuration, circulation and control.
- Equipment and materials schedule with scope boundaries.
- Construction, shutdown, commissioning and acceptance arrangements.
- Service scope, priced schedule, exclusions and commercial terms.
This checklist sets no mandatory model or universal contract price. Do not copy project-specific eligibility or brand restrictions from old tenders.
5. Reading historical quotations
Keep initial quotations, awarded prices, contract values and final settlement amounts separate. Never combine unit prices from one stage with the total from another. Historical nameplate performance is not annual system efficiency; equipment count alone does not establish supported occupancy.
